NØVÆON Digital Solutions ("we", "us") operates novaeon.ca. This policy explains what we collect, how we use it, and the choices you have.
Information We Collect
We collect information you provide directly and limited technical data about site usage:
- Contact form: name, email address, and the message/project details you submit.
- AI project intake: the project details you type into the intake terminal on our homepage (see below).
- Usage data: basic site analytics and/or server logs such as page views, approximate location (derived), device/browser type, and referral/source information.
AI Project Intake
The homepage intake collects what you type into the terminal flow. When the session ends, a summary of your inputs is generated and emailed to us for review. That summary is received and stored in our business email inbox.
Do not submit sensitive personal information through the intake (for example: passwords, government IDs, banking details, payment card numbers, or medical information). The intake is intended for project and business details only.
How We Use Your Information
We use information to:
- Respond to inquiries
- Prepare quotes, proposals, and scopes
- Deliver contracted services
- Maintain and improve our website and operations
We do not sell your personal information.
Service Providers
We use third-party providers to operate our business:
- Resend — sends email notifications (e.g., contact submissions and intake summaries).
- Google Workspace / Gmail — business communications and email storage.
- Stripe — processes payments. Payment card details are handled by Stripe and are not stored by us.
These providers operate under their own privacy policies.
When We Act as a Data Processor
When NØVÆON provides hosting services, we may process personal data on behalf of our clients. In this capacity, NØVÆON acts as a data processor and the client acts as the data controller. We process such data only in accordance with our client's instructions and applicable data protection law. If you are an end user of a platform hosted by NØVÆON and have questions about how your data is processed, please contact the platform operator directly.
Sub-processors
NØVÆON uses the following categories of sub-processors in the delivery of hosting services: cloud infrastructure providers (Google Cloud Platform), email delivery services (Google Workspace, Resend), payment processing (Stripe), monitoring and uptime services (UptimeRobot), and domain/DNS services. A current list of sub-processors is available upon request.
International Data Transfers
Personal data processed by NØVÆON may be transferred to and stored in Canada. For data originating from the EU/EEA, these transfers are covered by the European Commission's adequacy decision for Canada under PIPEDA (renewed January 2024). For data originating from other jurisdictions, we implement appropriate safeguards as required by applicable law. Our service providers may process data in countries outside Canada, including the United States.
Retention
We retain information as long as needed for the purpose it was collected and for legitimate business needs (e.g., ongoing discussions, active work, records). You can request deletion and we will remove information where feasible and legally permitted.
Cookies & Analytics
We may use cookies required for basic site functionality and may collect limited analytics to understand site usage. You can disable cookies in your browser, though parts of the site may not function as intended.
Security
We use reasonable safeguards to protect information. No system is perfectly secure, and we cannot guarantee absolute security.
Data Breach Notification
In the event of a personal data breach that is likely to result in a risk to the rights and freedoms of individuals, NØVÆON will notify affected clients without undue delay and, where feasible, within 72 hours of becoming aware of the breach. Notification will include the nature of the breach, categories and approximate number of data subjects affected, likely consequences, and measures taken to address the breach.
Your Choices & Rights
You can request access, correction, or deletion of personal information we hold about you, and you can opt out of communications where applicable. Contact us using the email below.
For EU/EEA Residents
If you are located in the European Union or European Economic Area, you have additional rights under the General Data Protection Regulation (GDPR). These include:
- Right of access (Article 15) — obtain confirmation of whether your personal data is being processed and request a copy of that data.
- Right to rectification (Article 16) — request correction of inaccurate personal data.
- Right to erasure (Article 17) — request deletion of your personal data where there is no compelling reason for its continued processing.
- Right to restriction of processing (Article 18) — request that we limit how we use your data in certain circumstances.
- Right to data portability (Article 20) — receive your personal data in a structured, commonly used, machine-readable format.
- Right to object (Article 21) — object to processing of your personal data based on legitimate interests or for direct marketing purposes.
Legal basis for processing: We process personal data on the following bases: performance of a contract (when you engage our services), legitimate interest (to operate and improve our business and website), and consent (where you have provided it, such as through our contact form or intake agent). Where processing is based on consent, you may withdraw it at any time.
International transfers: Transfers of personal data from the EU/EEA to Canada are protected by the European Commission's adequacy decision recognizing Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) as providing an adequate level of data protection.
